Arbor Survey Pty Ltd collects personal information so we can answer enquiries, carry out our consulting work, and send updates to people who ask for them. We handle that information in line with the Australian Privacy Act 1988 and the Australian Privacy Principles. This policy explains what we collect, why, where it is held, and how you can access it, correct it, or complain.
Who this policy covers
This policy applies to Arbor Survey Pty Ltd (ABN 59 611 545 101) and to the personal information we collect through our website, by email or phone, and in the course of our consulting work for private, commercial and government clients.
The personal information we collect
For most enquiries this is your name, email address, phone number, the site or property your enquiry concerns, and whatever you choose to tell us in your message. If you subscribe to our Insights updates, we collect your email address. When you engage us for a project, we also hold the information needed to do the work and to invoice you, such as a postal or billing address and project correspondence.
We do not collect sensitive information such as health, racial or political details, and we ask that you do not send it to us through the website.
How we collect it
We collect personal information directly from you when you complete the contact form, subscribe to Insights, or email or call us. Where it is reasonable and relevant to an assessment, we may also collect information about a tree or a site from public records, such as planning records or registers held by a Council.
Why we collect and use it
We use your information to respond to your enquiry, prepare quotes, carry out and deliver our consulting work, manage our work with you, meet our legal and professional obligations, and, if you have opted in, send Insights updates. We do not use automated systems to make decisions that significantly affect you. We do not sell your personal information.
When we share it, including overseas
We share personal information only where it is needed to do the work or run the business: with the service providers who help us operate, and where the law requires it. Our enquiry forms and email list are managed through HubSpot, a customer relationship platform that stores information on servers outside Australia, including in the United States. Where we disclose information to an overseas provider, we take reasonable steps to see it is handled consistently with the Australian Privacy Principles. We do not pass your information to anyone else for their own marketing.
How we store and protect it
We hold personal information in our business systems and in the platforms named above, protected by access controls and the security those providers maintain. We keep it only as long as we need it for the purpose it was collected, or as the law requires, and then remove or de-identify it. No system is ever perfectly secure, but we take reasonable steps to protect information from misuse, loss and unauthorised access.
Cookies and website analytics
Our website uses cookies to make the site work and to understand how it is used, so we can improve it. You can refuse or delete cookies in your browser, though some parts of the site may then work less well. Where our analytics and marketing cookies are not strictly necessary, we hold them until you agree through the consent banner on the site.
Marketing emails
We send Insights updates only to people who have asked for them. Every marketing email identifies Arbor Survey and carries a working unsubscribe link. If you unsubscribe, we will action it within five working days and stop sending you marketing email. This follows the Spam Act 2003.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong or out of date. Email us at office@arborsurvey.com.au and we will respond within a reasonable time. There is no charge to ask; if a request takes significant work, we will tell you of any cost before we proceed. If we cannot give you access, we will explain why.
Making a complaint
If you think we have mishandled your personal information, contact us first at office@arborsurvey.com.au so we can look into it and put it right. We will acknowledge your complaint and respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
Data breaches
If a data breach is likely to cause serious harm, we will respond under the Notifiable Data Breaches scheme, including notifying the people affected and the OAIC as required.
Changes to this policy
We update this policy when our practices or the law change. The current version is the one published here, with the date it was last updated shown below.
